Columbia Power & Water Systems seeks an individual for a full-time, exempt position to aid with administrative matters, perform secretarial duties, and assist in communications. This position is to be a positive and professional ambassador of the organization and the Executive Director.

Job duties and responsibilities include the following: perform monthly tasks associatedwith the Board of Directors’ activities to include but not limited to transcription ofminutes, prepare agenda, provide information reports, and compose memos; maintainthe Executive Director’s calendar by scheduling appointments, and briefing the Executive Director of pending engagements; post information required by law in the local newspaper, such as meeting announcements or other legal notices; answer phone, email, mail, or fax communications on behalf of the Executive Director or other management staff if needed; assist with reports and material needed for operation reporting and regulatory compliance; manage and compose communication for public postings in newspaper, social media, or other areas where the organization has a public presence; maintain a courteous and friendly demeanor when engaging with internal and external clients; provide a consistent impression as the ambassador for the values and mission of the organization and the initiatives of the Executive Director; provide planning for events, both internal and external, such as company celebrations or company participation in community events; plan travel arrangements for the Executive Director or other management staff if needed; use discernment and initiative, multi-task, and prioritize actions and/or events inside the office of the Executive Director; and other duties may be assigned.

Physical and mental requirements of the job include the following: frequently required to sit, stand, kneel, stoop, or squat; use hands or fingers to handle or feel objects, tools, or controls; reach with hands and arms; talk, hear and communicate with other employees or customers; specific vision ability to include close vision, distance vision, color vision, depth perception and the ability to adjust focus; occasionally lift and/or move up to 25 pounds; ability to analyze situations logically to identify causes and draw solid conclusions; ability to anticipate the consequences of a situation; ability to modifyone’s own behavior to meet expectations of others; ability to sustain one’s own emotionsfrom interfering with responding effectively to internal and external customer’s needs;maintain regular work attendance during scheduled hours; and acknowledge and adhere to all CPWS Policies.

Job requirements and qualifications include the following: high school diploma or equivalent; some college or professional training in office management preferred; fiveyears’ experience assisting an executive level position; experience working with boardsof directors and committees, taking and preparing meeting minutes preferred; discretion in handling confidential information, sensitive documents, and communications; ability to demonstrate excellent judgment and decision making; ability to communicate effectively through speaking, writing, and listening, including well-written and accurate meeting minutes; excellent organization, prioritization, and attention to detail; demonstrates a commitment to accuracy and quality while meeting goals and deadlines; must be comfortable working effectively in a deadline driven environment; ability to be self-motivated and work independently with nominal supervision; strong Microsoft Office skills (Word, Excel, Power Point, Publisher, and Outlook); type at least 60 words per minute; use office equipment such as computer, fax, printer, copier, etc.; maintain a professional appearance inside the organization and outside the organization when attending community functions.
