Administrative Assistant

Columbia Power & Water Systems seeks an individual for a full-time, non-exempt position to be a positive and professional ambassador of the organization and the President/CEO by performing secretarial duties, assisting in communications, and providing aid with administrative matters.

Duties/responsibilities include the following: perform monthly tasks associated with the Board of Public Utilities activities to include but not limited to transcription of minutes, prepare agenda, provide information reports, and compose memos; maintain the President/CEO’s calendar by scheduling appointments and briefing the President/CEO of pending engagements; post information required by law such as meeting announcements or other legal notices; answer phone, email, mail, or fax communications on behalf of the President/CEO or other management staff if needed; assist with reports and material needed for operational reporting and regulatory compliance; manage and compose communication for public postings in areas where the organization has a public presence; maintain a courteous and friendly demeanor when engaging with internal and external clients; provide a consistent impression as the ambassador for the values and mission of the organization and the initiatives of the President/CEO; provide planning for events, both internal and external, such as company celebrations or company participation in community events; plan travel arrangements for the President/CEO and staff as needed; use discernment and initiative, multi-task, and prioritize actions and/or events inside the office of the President/CEO; maintain a positive and professional impression of the organization; and other duties may be assigned.

Required skills/abilities include the following: acknowledge and adhere to all CPWS policies; regular attendance at work; perform duties safely without endangering self, others, and the public; ability to communicate effectively through speaking, writing, and listening; ability to demonstrate a commitment to accuracy and quality while meeting goals and deadlines; ability to work effectively in a deadline driven environment; ability to be self-motivated and work independently with minimal supervision; ability to modify own behavior to meet expectations of others; Ability to sustain emotions from interfering with responding effectively to other’s needs; ability to analyze situations logically and anticipate the consequences of a situation; ability to write; ability to be discrete in handling confidential information, sensitive documents, and communication; ability to demonstrate excellent judgment and decision making; must be proficient in Microsoft Office (Word, Excel, Outlook, Publisher, and PowerPoint); and must maintain a professional appearance inside and outside the organization when attending community functions.

Physical requirements include the following: ability to lift 0 – 25 pounds occasionally; ability to lift and/or carry objects weighing 0 – 25 pounds for 6 hours a day; ability to walk; ability to stand for 8 hours a day; ability to sit, stand, stoop, kneel, and crouch; and the ability to talk, see, hear, reach, handle, and feel.

Education, experience, and qualifications are as follows: high school diploma or equivalent required; valid State of Tennessee driver’s license required; five years’ experience assisting an executive level position and/or experience working with a board of directors preferred.
